Email, text and push your members, and fill empty spots

What this page is for

Marketing lets you email groups of members based on how often they visit, for example people who haven't been in for a few weeks. You can send once or schedule, set up emails that go out automatically, and send SMS, WhatsApp or app push messages if your studio has them. Fill Assist spots sessions likely to stay empty and suggests them to members they suit.

Before you start

  • Only members who have opted in to marketing receive it. Anyone who unsubscribes is always skipped.
  • To send SMS or WhatsApp broadcasts, set up the SMS & WhatsApp page first.
  • App push only works if your studio has its own branded app.
  • Fill Assist works best with a regular weekly timetable, because its forecasts learn from how the same session filled in past weeks.

Step by step

  1. Check your email credit

    Open Marketing. The Email section shows your monthly email credit, which campaigns and automations share. Every email counts once per recipient, and the counter resets at the start of each month.

  2. Pick an audience

    Click Audiences to see ready-made groups based on visits: Active, New, Returning, At risk and Lapsed, each with a live member count. Click See members to check who's in a group.

  3. Build your own segment if you need to

    Click New custom segment, give it a Name, then use Add filter to narrow it down, for example by days since last visit, lifetime visit count or whether they have an active package. A member must match every filter. Click Save segment.

  4. Prepare a template

    Click Templates. Use Duplicate to edit on a starter template, or click Create template, then change the subject, heading, body and button and click Save. Every campaign starts from a template.

  5. Write a campaign

    Click New campaign. On 1. Audience, choose who to email and check how many are emailable. On 2. Email, pick a template, give the campaign an internal name and edit the subject, text and button while you watch the preview.

  6. Send or schedule it

    On 3. Send, check the summary and your remaining credit. Click Send now, or choose a date and time under Schedule (studio timezone) and click Schedule send. Use Save draft to finish later. Opens and clicks appear under Past campaigns after delivery.

  7. Automate repeat messages

    Click New automation. Under When, choose an audience and a trigger such as Enters segment. Under Then, pick Send email, Send push or Tag rule. Check the Dry run to see who it would reach, then click Create automation. Automations are checked once a day.

  8. Text or push your members

    These cards in the SMS, WhatsApp & app push section only work if your studio has the channel set up.

    • New broadcast: send an SMS or WhatsApp message to an audience
    • Compose push: choose an audience, write a Title and Message, pick what Opens when they tap, then click Send push
  9. Fill empty spots with Fill Assist

    In the Fill empty spots section, click Open Fill Assist. At-risk sessions lists the classes, courts and open matches in the next 7 days that are forecast to finish under-filled, with the money at risk. Click a column name to sort by it, and tap the help icon next to any section to see what it means. Moveya only suggests these sessions to members they already suit, and never adds a discount.

    • Boost: give a session a small extra lift. You can have up to 3 boosted sessions at a time, and each member sees at most one boosted session from you a week
    • Exclude: stop a session from being suggested at all, for example a private group
    • Automatic mode: when it's off, only the sessions you boost get a lift
    • Daily cap: the most suggestions Moveya delivers for your venue in a day: 10, 25 (the default) or 50
    • Results by suggestion type: click a type to see who booked, which session, and whether they paid one-off or with a membership or pack

Common questions

Why are fewer people emailable than are in the audience?

A member is only emailable if we have their email, they've agreed to marketing emails, their address hasn't bounced or complained, and they've booked or bought a package with you. The 1. Audience step shows how many were skipped and why.

Why is Send now greyed out?

Either nobody in the audience is emailable, or the send needs more emails than you have left this month. Pick a different audience or wait for the credit to reset.

Will a new automation email everyone already in the audience?

No. The first daily check only saves a starting point, so only people who join or leave the audience after that are messaged. If you do want to include current members, turn on Include members already in the audience under Safety.

How many push notifications can I send?

Each studio can send 5 marketing pushes a day, shared across all managers. The count resets at midnight UTC. Email has its own monthly credit, so pushes don't use it.

Why don't I see Compose push?

App push sends notifications through your studio's branded app, so it only appears for studios that have one. Email campaigns and audiences work without it.

Do booking confirmation emails use my email credit?

No. Only marketing emails from campaigns and automations count. Booking emails never use it.

How does Fill Assist decide who sees my session?

Moveya first scores how well a session suits each member, using their usual times, favourite studios and trainers, recovery and distance. Your venue's need only counts once a session is already a good fit, and it can only move it up a little. Nobody is shown a session that doesn't suit them just because it's empty.

Can I see which members Fill Assist suggested my sessions to?

You can see who booked. In Results by suggestion type, click a type to see each booking it led to: the member's photo, name and email, the session, when they booked and how they paid. Members who were suggested a session but didn't book are never shown, and names are hidden for recovery-aware suggestions because they would reveal a member's recovery. To contact other people, use an audience with a campaign or an automation.

Why does every new class show a forecast of 0 and high risk?

Forecasts learn from how the same class filled over the past 8 weeks. A new class or a new timetable has no history yet, so Moveya assumes nobody else will book. The forecast gets accurate after a few weeks.

Why can't I set a daily cap above 50?

Every venue shares the same maximum, so members always see the sessions that suit them best rather than whichever venue allows the most. Each member gets at most one suggestion a day anyway. Pick 10 or 25 if you'd rather Moveya suggested you less often.

Why is Boost greyed out?

You can have up to 3 boosted sessions at a time. A slot frees up as soon as a boosted session starts, or when you click Boosted to remove a boost.

Are sessions at free studios suggested to members too?

Yes. Moveya suggests sessions from every studio to members they suit, so a free studio still gets up to 10 suggestions a day, automatically. Fill Assist is part of Pro: it raises that to a daily cap you choose (25 by default, up to 50) and adds boosts, exclusions and booking results.
